Client onboarding
Takes about 10 minutes. Answer what you can, skip what you don't know, and don't worry about writing it neatly. When you're done hit Copy at the bottom and send it back to me. Your answers save in this browser as you go, so you can stop and come back. Don't put any passwords in here, we'll sort access on the call.
1. The basics
So I know who I'm working with and how to reach you.
Owner, head coach, both, something else
Instagram DM, WhatsApp, text, email
Business partner, coach who handles the page, whoever does the books. Name and role.
2. Access I'll need
No passwords here. Just tell me what exists and who controls it.
Instagram, Facebook, Meta Business Suite, TikTok, YouTube, Google Business Profile, booking software, website, email tool
What is it and where is it registered.
This is what shows up when someone Googles you. Be honest if you've never touched it.
3. The business
The stuff I can't get from your page.
A rough number is fine. This is my baseline, not a judgement.
Memberships, class packs, privates, family rates, everything.
Which sessions are packed, which are empty, and your max capacity.
Names, what they teach, and whether they're comfortable on camera.
4. What's working now
Tells me what to protect and what to fix first.
If you've never counted, guess. A guess is still useful.
Word of mouth, walk-ins, Google, Instagram, Facebook, events, referrals, no idea
Platform, roughly what you spent, what happened.
5. Events and community
Anything that puts other gyms, fighters or crowds in your space is content and borrowed audience.
How often, and when's the next one.
Other gyms and teams. Names and Instagram handles if you have them.
6. Filming and content
I write and build everything. You send me footage. This is about what's realistic for you.
You, a coach, a member who's handy with a phone, nobody.
Fine with it, OK training but not talking, rather not.
Busiest, best lighting, most interesting. Days and times.
Kids whose parents haven't consented, anyone whose job or situation needs privacy.
Beginners who've transformed, people with a story, anyone with personality. Names.
7. Brand and boundaries
So I don't put something out that causes you a problem.
Affiliations, franchises, sponsors, anything you need to clear with someone else.
Competitor names, past staff, prices you don't want public, personal stuff. Be specific.
Usually the most useful line in the whole form.
8. What winning looks like
I want a number to be judged on.
Twenty new members in 90 days. Kids class from 8 to 25. Whatever it is, say it.
Saves me repeating it.
How many more members could you actually take before you're too full or need another coach.
9. Admin
Last bit.
I'm in Thailand, so your morning is usually my evening. Give me your local time.
